Carrier Eligibility
Who can apply for DispatchHQ?
DispatchHQ is designed primarily for small motor carriers and owner-operators operating under their own active authority. Multi-truck fleets may also apply subject to available dispatcher capacity.
How old does my authority need to be?
Our current intake baseline is generally at least 6 months of active authority. Individual brokers may require more operating history.
Can I apply with authority under 6 months old?
You may submit an intake, but immediate placement may not be available because newer authorities generally have access to fewer brokers.
Does my truck need to be verified on insurance?
Yes. Equipment presented for dispatch should be properly covered and verifiable under the carrier's active commercial insurance before service begins.
Does my MC need to be active?
Yes. Required operating authority and insurance filings must remain active for interstate for-hire operations.
Can owner-operators apply?
Yes. DispatchHQ is specifically designed with small carriers and owner-operators in mind.
Can fleets with multiple trucks apply?
Yes. Fleet owners may submit multiple trucks, but placement depends on current dispatcher capacity.

Are loads booked under my own MC?
Yes. DispatchHQ's carrier dispatch model is built around the motor carrier actually transporting the freight.
Does DispatchHQ book freight under another carrier and give it to me?
No. That is not the DispatchHQ dispatch model. We provide backend support for the specific carrier whose authority is being used.
Does DispatchHQ double broker loads?
No. DispatchHQ's dispatch service is not designed to accept freight under one carrier and then redistribute that shipment to unrelated carriers.
Why is using my own MC important?
It helps your company develop its own broker relationships, maintain visibility into freight agreements and reduce dependence on another carrier's operation.
Is operating under another carrier's authority always illegal?
No. Proper lease-on arrangements and other lawful transportation structures can exist. The concern is freight being reassigned without the required authority, contractual structure or disclosure.
What happens if the carrier giving me loads stops working with me?
If your broker relationships exist primarily under that carrier's authority, those freight sources may disappear when the relationship ends. Building under your own authority reduces that dependency.
Does the broker know my carrier is hauling the load?
DispatchHQ's model is designed around transparent carrier-broker transactions where your carrier is assigned to transport the shipment.
Rates, Payments & Factoring
Who receives the rate confirmation?
Rate confirmations for your loads are issued to your carrier and can be delivered to the email addresses associated with your operation.
Can I see what the broker actually pays?
Yes. Your carrier receives the rate confirmation showing the agreed freight rate.
Does DispatchHQ receive my freight payment?
No. Freight payment goes directly to your carrier or factoring provider. DispatchHQ service fees are handled separately.
Can I use my own factoring company?
Yes. Your existing factoring relationship can generally remain in place.
Can DispatchHQ help with factoring paperwork?
Depending on your service level, DispatchHQ can assist with PODs, BOLs, invoicing and document coordination.
Do you screen brokers?
DispatchHQ can review broker requirements and available payment or credit indicators before booking. The carrier retains final control over which business relationships it accepts.
Can you guarantee a broker will pay?
No. Broker screening can reduce avoidable risk but cannot eliminate credit, documentation or collection risk.

Do I control which loads I take?
Yes. It is your carrier and your equipment. DispatchHQ works around your agreed operating preferences and parameters.
Will DispatchHQ force me to take a load?
No. Dispatch support is intended to help you make informed operating decisions, not force freight onto your truck.
Can I choose my preferred lanes?
Yes. Preferred lanes, operating regions, home-time needs, equipment, deadhead tolerance and rate expectations can be incorporated into your dispatch profile.
Can DispatchHQ plan my reload?
Yes. Reload planning helps reduce downtime and unnecessary deadhead by looking beyond the current shipment.
Do you consider deadhead?
Yes. Freight should be evaluated using total miles, deadhead, destination, reload potential, time and other operating factors.
Do you consider driver Hours of Service?
Yes. Dispatch planning should consider available legal driving and on-duty time. Drivers remain responsible for accurate ELD records and legal operation.
Will DispatchHQ ask me to run illegally?
No. Dispatch planning should never require a driver to violate Hours-of-Service, safety requirements or applicable regulations.
Who communicates with the broker while I drive?
DispatchHQ can handle routine broker communication, check calls, appointment updates and operational follow-up depending on your service arrangement.

Do you help set my carrier up with new brokers?
Yes. DispatchHQ can assist with broker onboarding and carrier packets where permitted by the broker.
Do those broker relationships belong to DispatchHQ?
No. The objective is for the relationship to exist directly with your carrier and your MC.
If I stop using DispatchHQ, do I lose my broker setups?
Broker accounts established directly under your carrier generally remain associated with your company, subject to each broker's individual requirements.
Can DispatchHQ guarantee broker approval?
No. Brokers establish their own requirements involving authority age, insurance, safety history, equipment and other factors.
Why do some brokers reject newer authorities?
Broker risk policies vary. Some require minimum authority age, operating history, safety history or other qualifications.
Paperwork & Revenue Protection
Do you handle PODs and BOLs?
DispatchHQ can help organize and route PODs, BOLs and load documentation to brokers, factoring companies or your internal files.
Do you help with invoicing?
Depending on your service plan, DispatchHQ can assist with invoice preparation, documentation and factoring coordination.
Do you follow up on detention?
DispatchHQ can document and pursue detention when supported by the rate confirmation and broker requirements.
Do you handle layover requests?
Yes. We can communicate with the broker and provide supporting information when a legitimate layover request exists.
Do you handle TONU requests?
DispatchHQ can pursue Truck Ordered Not Used compensation when the circumstances and applicable agreement support the request.
Do you help with lumper reimbursement?
DispatchHQ can help transmit lumper receipts and reimbursement documentation to the broker.
Can you guarantee detention, TONU or layover payment?
No. Approval depends on the rate confirmation, broker policy, documentation and circumstances.

Can you guarantee monthly gross revenue?

Can professional dispatch improve my revenue?
Better negotiation, reload planning, lower deadhead, faster communication and stronger backend organization may improve efficiency. Results vary and no percentage is guaranteed.
How can dispatch fees pay for themselves?
The objective is for improved freight selection, negotiation, utilization and revenue follow-up to create more value than the cost of the service.
Do you always take the highest-paying load?
Not necessarily. The best load may depend on deadhead, destination, reload potential, time, Hours of Service and overall operating value.

Why does DispatchHQ have a waitlist?
We intentionally limit the number of trucks assigned to each dispatcher so our backend team is not overloaded.
Why not accept every carrier immediately?
Unlimited truck intake can reduce the time available for negotiation, planning, broker communication and problem solving.
Does joining the waitlist guarantee acceptance?
No. Placement depends on carrier eligibility, operational fit and available dispatcher capacity.
How long will I stay on the waitlist?
There is no guaranteed wait time. Availability depends on staffing, equipment type, operating profile and current capacity.
Is the waitlist first come, first served?
Not necessarily. Placement can also depend on equipment, authority history, lanes, broker eligibility and compatibility with available dispatch capacity.
What information is needed to join?
Your name, company name, MC number, USDOT number, email address and phone number.
Onboarding
What happens after I submit the intake?
DispatchHQ reviews your carrier information. Qualified carriers may be contacted regarding current availability or placed on the waitlist.
What documents may be needed later?
Onboarding may involve your W-9, certificate of insurance, authority information, equipment details, factoring information and other carrier documentation.
How quickly can dispatch begin after approval?
Timing depends on completed onboarding, broker setups, equipment readiness and current dispatch capacity.
Safety & Compliance
Is DispatchHQ responsible for my FMCSA compliance?
No. The motor carrier remains responsible for its authority, insurance, drivers, equipment, Hours of Service and regulatory compliance.
Who is responsible for vehicle safety?
The motor carrier and driver remain responsible for equipment condition, inspections and safe legal operation.
What if my truck breaks down during a load?
Notify DispatchHQ immediately. We can assist with broker communication and appointment updates while the carrier manages the repair and safety decision.
What if my insurance or authority becomes inactive?
Dispatch service may need to stop until the carrier is again legally eligible to operate.
Your Control
Does DispatchHQ own or control my carrier?
No. Your company remains your company. DispatchHQ provides contracted dispatch and backend support.
Can I communicate directly with brokers?
Yes. They are relationships associated with your carrier. DispatchHQ can manage routine communication as part of the dispatch service.
Can I tell DispatchHQ not to use certain brokers?
Yes. Broker restrictions and carrier preferences can be incorporated into your dispatch profile.
What happens if I eventually stop using DispatchHQ?
Your carrier remains your carrier. Broker relationships established directly under your MC generally remain associated with your business, subject to each broker's requirements.
