These Terms & Conditions govern your access to and use of the DispatchHQ website, DispatchHQ dispatch services, MyCarrierHQ compliance services, and any related services provided by DispatchHQ Inc. By using this website, submitting a form, requesting services, signing up for services, communicating with DispatchHQ Inc, or authorizing payment, you agree to these Terms & Conditions.

Company Structure

DispatchHQ Inc operates two service brands:

DispatchHQ

Provides dispatch, back-office support, broker screening, payment tracking, accessorial follow-up, document support, and operational support services for motor carriers.

MyCarrierHQ

Provides compliance support, filing assistance, monitoring, reminders, document organization, permit support, DataQ support, SAFER/CSA review support, audit readiness support, and operational compliance guidance.

Bona Fide Agent Status

DispatchHQ Inc operates as a bona fide agent on behalf of motor carriers for dispatch services. Dispatch services are performed for the benefit of the carrier, under the carrier’s DOT authority, and in support of the carrier’s transportation operations.

Loads are booked under the carrier’s DOT authority. DispatchHQ Inc does not take possession of freight, does not operate trucks, does not provide transportation in its own name, does not hold itself out as a motor carrier, and does not operate as a freight broker.

Services Provided

DispatchHQ services may include:

Full load booking, carrier packet setup, broker onboarding support, broker communication, professional check calls unless broker requires direct driver contact, POD/BOL organization, rate confirmation review, driver dispatch support, trip planning support, accessorial follow-up, payment tracking, invoicing support, factoring coordination, collections follow-up, and other operational support.

MyCarrierHQ services may include:

Compliance reminders, filing assistance, document organization, permit support, UCR support, IFTA support, IRP support, 2290 HVUT support, NY HUT support, KYU support, Oregon weight-mile support, Clean Truck Check guidance, CARB document guidance, DataQ support, SAFER/CSA review, audit readiness support, driver qualification checklist support, maintenance file checklist support, ELD review support, and other compliance-related support.

Services may vary based on selected plan, carrier operation, equipment type, authority status, state requirements, document condition, carrier cooperation, and third-party system availability.

No Guarantee of Results

DispatchHQ Inc does not guarantee freight availability, specific rates, revenue amounts, broker approval, shipper approval, factoring approval, payment by any broker or shipper, detention approval, layover approval, TONU approval, accessorial approval, load cancellation outcome, claim outcome, agency approval, permit approval, DataQ approval, violation removal, audit outcome, or any government decision.

Market conditions, broker requirements, equipment availability, driver performance, weather, regulations, insurance requirements, third-party decisions, and freight availability can affect results.

Customer Responsibilities

The customer is responsible for providing accurate, complete, and timely information. This may include authority documents, insurance documents, W-9, factoring documents, carrier packets, truck registration, trailer registration, driver information, compliance documents, permits, fuel and mileage records, inspection records, PODs, BOLs, rate confirmations, and other documents needed to provide services.

The customer is responsible for reviewing all loads, rates, routes, filings, permits, invoices, compliance submissions, tax-related submissions, and business decisions before approval or use.

The customer remains fully responsible for its DOT authority, safety compliance, driver qualification, equipment condition, insurance coverage, tax obligations, regulatory filings, and business operations.

Dispatch Services

DispatchHQ may help locate, negotiate, and coordinate freight opportunities on behalf of the carrier. The customer authorizes DispatchHQ Inc to communicate with brokers, shippers, factoring companies, and other transportation-related parties as needed to perform dispatch and back-office services.

All loads are booked under the carrier’s DOT authority. The carrier remains responsible for safe and legal operation, driver compliance, equipment condition, insurance coverage, pickup and delivery performance, broker requirements, and transportation obligations.

DispatchHQ Inc may reject or avoid loads, brokers, or lanes that appear risky, unsuitable, underpriced, suspicious, or inconsistent with the carrier’s operating preferences or safety interests.

Broker Screening and Revenue Protection

DispatchHQ may use internal tools, factoring company tools, broker rating platforms, payment indicators, and operational experience to help screen brokers and reduce risk. However, broker screening does not guarantee broker payment, broker performance, broker honesty, claim outcome, or load outcome.

Non-recourse factoring may be discussed or coordinated when available, but approval depends on the factoring company, broker eligibility, carrier qualifications, and factoring agreement terms. DispatchHQ Inc does not guarantee factoring approval or payment protection.

MyCarrierHQ Compliance Services

MyCarrierHQ compliance services include support, reminders, document organization, filing assistance, monitoring, and operational compliance guidance based on the selected plan.

Government fees, permit fees, taxes, penalties, bond premiums, insurance premiums, ELD fees, drug consortium fees, testing fees, factoring fees, and third-party provider fees are not included unless specifically stated in writing.

Partner Carrier Connection Support

If a driver or owner-operator owns a truck but does not have active authority, DispatchHQ Inc may help connect qualified drivers or owner-operators with partnered carriers when available. Approval is not guaranteed and depends on the partnered carrier and required third-party approvals.

Pricing and Fees

DispatchHQ dispatch fees are generally calculated as a percentage of the gross load amount unless otherwise stated in writing. Prices may change at any time.

Promotional Offers and Free Compliance Bundles

Discounted pricing, free MyCarrierHQ compliance bundles, or promotional offers require 12 weeks of continuous dispatch service unless otherwise stated in writing.

Payment and Billing Authorization

DispatchHQ Inc may collect payment using the card on file or checking account information provided during setup.

By enrolling in DispatchHQ or MyCarrierHQ services, the customer authorizes DispatchHQ Inc to charge the provided payment method for selected services, recurring plan fees, dispatch fees, MyCarrierHQ compliance services, one-time services, add-ons, unpaid balances, administrative fees, and any approved service charges.

Recurring Payments

If the customer enrolls in a recurring DispatchHQ or MyCarrierHQ plan, the customer authorizes recurring charges until the service is cancelled in accordance with these Terms or any signed service agreement.

Communication Consent: Phone, Text, and Email

Phone, SMS, MMS, and Email Consent

This section explains communication consent for service, onboarding, dispatch, billing, compliance, marketing, and related business communications.

By providing a phone number, email address, or other contact information to DispatchHQ Inc, the customer agrees that DispatchHQ Inc, DispatchHQ, and MyCarrierHQ may contact the customer by phone, text message, SMS, MMS, email, or other communication methods regarding service inquiries, onboarding, dispatch operations, load coordination, documents, billing, payment issues, compliance reminders, account updates, service updates, marketing, and related business communications.

Message frequency may vary. Message and data rates may apply. The customer may opt out of marketing text messages by replying STOP.

Opting out of marketing communications may not stop necessary transactional or service-related communications, such as active load updates, account notices, billing notices, compliance reminders, safety-related messages, or legally required communications.

SMS Consent and Mobile Information

Mobile phone numbers, SMS opt-in data, and text message consent information will not be sold, rented, or shared with third parties or affiliates for their marketing or promotional purposes. Mobile information may be shared with service providers only as needed to operate messaging services, process communications, provide customer support, maintain security, comply with law, or deliver services requested by the customer.

Email Communications

By providing an email address, the customer agrees to receive service-related and business-related emails from DispatchHQ Inc, DispatchHQ, and MyCarrierHQ. Marketing emails may include an unsubscribe option where required. Unsubscribing from marketing emails may not stop transactional or service-related emails.

Third-Party Services

DispatchHQ Inc may help customers communicate with or use third-party providers. DispatchHQ Inc is not responsible for third-party actions, delays, denials, fees, system errors, approval decisions, account restrictions, payment decisions, or service interruptions.

Limitation of Liability

To the fullest extent permitted by law, DispatchHQ Inc, DispatchHQ, MyCarrierHQ, owners, employees, contractors, agents, and representatives are not liable for indirect, incidental, consequential, special, punitive, or lost-profit damages, including loss of revenue, lost loads, unpaid loads, downtime, missed deadlines, penalties, insurance increases, audit results, violations, equipment issues, driver issues, market conditions, or third-party decisions.

DispatchHQ Inc is not responsible for delays, denials, penalties, missed deadlines, unpaid loads, compliance issues, or losses caused by inaccurate information, late documents, third-party systems, government agency delays, broker non-payment, factoring company decisions, driver non-compliance, equipment issues, weather, market conditions, or events outside DispatchHQ Inc’s control.

Information provided by DispatchHQ Inc, DispatchHQ, or MyCarrierHQ is for operational and informational purposes only. It is not legal, tax, accounting, insurance, financial, or regulatory advice. Customers should consult qualified professionals for legal, tax, accounting, insurance, or regulatory advice.

Website Use

You agree not to misuse the website, submit false information, attempt unauthorized access, interfere with website operations, copy content without permission, or use the website for unlawful purposes.

Intellectual Property

All website content, branding, text, graphics, logos, service names, design elements, and materials are owned by or licensed to DispatchHQ Inc unless otherwise stated. You may not copy, reproduce, distribute, modify, or use DispatchHQ Inc content without written permission.

Service Suspension or Termination

DispatchHQ Inc may suspend or terminate services if the customer fails to pay, provides false information, refuses required documents, violates safety or compliance standards, engages in abusive conduct, creates unreasonable risk, fails to cooperate, disputes valid charges, or violates these Terms or any signed agreement.

Changes to These Terms

DispatchHQ Inc may update these Terms & Conditions from time to time. Updates will be posted on this page with a revised effective date. Continued use of the website or services after updates means you accept the revised Terms.
